Viewing KnowledgeTree documents

This procedure opens a Microsoft Office document from KnowledgeTree so that you can view (download) a local copy of the document within a Microsoft Office 2007 application - either Word, Excel, or PowerPoint.

 

Note: KnowledgeTree Office Add-in displays only files of the type relevant to the Microsoft Office 2007 application you are working in. For example, when working in Microsoft Office Excel, the Add-in displays only those files in the KnowledgeTree Browse view that are of file type 'Excel'.

 

 

Pre-requisites:

To perform this procedure, you will need all of the following:

KnowledgeTree Office Add-in, installed on your client machine.
A valid connection to KnowledgeTree, set up and working on your machine.
Appropriate permissions on the relevant KnowledgeTree folder (the folder where the document is stored).
The document saved to KnowledgeTree, and available for editing (if required; i.e. another user must not have locked the document for editing in KnowledgeTree).
You must have opened the relevant Microsoft Office 2007 application, and you must be logged in to KnowledgeTree through KnowledgeTree Office Add-in.

 

 

Perform the following steps:

1.From within the relevant Microsoft Office application, locate the KnowledgeTree document you want to view in Microsoft Office.

 

2.Having located the document, select it in the KnowledgeTree Office Add-in panel; then, click View a copy.

Alternative step: Double clicking on a document selected in the tree opens

the document for viewing. If the document is currently checked out by you, double clicking

on the file in the folder tree opens it for editing.

3.A 'view only' copy of the document downloads from KnowledgeTree. View the the document properties, and view the displayed document content in the adjacent Microsoft Office interface. The following actions become available in the Actions pane:  

Note: Any changes you make to the downloaded ('view only') document in Microsoft Office

2007 are not saved to KnowledgeTree. To edit the KnowledgeTree document you will need to

open the document for editing (click 'Start Editing').

 

Save As - allows you to add your local copy of the document as a new KnowledgeTree document.

 

Start Editing -  opens the document for editing in Microsoft Office, and locks the document in KnowledgeTree so that other users will no longer be able to edit this document, until you save it back to KnowledgeTree. If you system administrator has enforced capturing of reasons, you will need to provide a description of your changes to this document when opening the document for editing, and when saving your changes back to KnowledgeTree.

Note: This action is only available if the document is not locked for editing by

another KnowledgeTree user, and you have 'write' permissions on the folder

to perform this action.

 

Open Another Document - allows you to open another KnowledgeTree document in Microsoft Office.
