This topic is a guide to using KnowledgeTree Hot Folders, and provides a check list of tasks that must be performed before you can use the Hot Folders tool.
Hot Folders is installed, what do I do next?
Note: Hot Folders starts automatically after installation. The service can be manually stopped/started through the KnowledgeTree Hot Folders Window. To open this window, click on the KnowledgeTree Hot Folders icon on your desktop, or click KnowledgeTree Hot Folders on the Windows Start menu.
Perform the following tasks:
Note: You may want to:
| • | test the connection to the KnowledgeTree DMS |
| • | set up a proxy (if required) |
| • | change the location of the watchfolder, archivefolder, or failurefolder |
| • | select the document processing mode (advanced or basic) |
| • | select the XML filename format (.ext.xml or .xml), if using Advanced mode document processing |
Note: You may want to:
| • | create a user account to be used exclusively for uploads through Hot Folders |
| • | create metadata to be used in the XML files. |
| 3. | Create the XML metadata files (for Advanced mode uploads) |
| • | Ensure that you have selected the appropriate XML filename format (Advanced mode). |
| • | Ensure that the filenames of uploaded documents match the XML filenames and the selected XML filename format. |
| • | Documents may be scanned, faxed, copied, or dragged and dropped from a local folder into the watchfolder (the location of the watchfolder may be viewed or changed through the Hot Folders Window). |
| • | The Hot Folders tool monitors the watchfolder - when documents are dropped (copied or dragged) into the watchfolder, Hot Folders waits for the accompanying XML file. The document is uploaded first, followed by the accompanying XML file. |
| • | Check the archivefolder to view successfully processed documents. |
| • | Log in to KnowledgeTree to verify that documents and their metadata are correctly stored. By default, documents uploaded through KnowledgeTree Hot Folders are uploaded to the Root folder in the KnowledgeTree DMS. The document's Document Details page in the Web interface displays the metadata extracted during the upload process. |
| • | Failed uploads are listed in the failurefolder. |
| • | When document upload fails, check that the filename format of the uploaded document and its accompanying XML are identical. |
