KnowledgeTree Hot Folders > Setting up Hot Folders in the KnowledgeTree DMS > KnowledgeTree Hot Folders Metadata This topic provides information around configuring the document types, fieldsets, and fields to use with KnowledgeTree Hot Folders.
Before the first use of KnowledgeTree Hot Folders in the organization, the administrative user logs in to KnowledgeTree's Web interface to create the document types, fieldsets, and fields that will be used for documents that are uploaded via KnowledgeTree Hot Folders. Note: Configuring metadata prior to using KnowledgeTree Hot Folders for uploads is an optional, although recommended, task.
KnowledgeTree uses document types, fieldsets, and fields to gather the metadata used to categorize documents in the repository, in order to provide an efficient search function for the document management system.
Note: For search purposes, documents in the repository are grouped by document type - e.g. 'Invoice', or 'Proposal'. Each document type is associated with one or more fieldsets, and each fieldset contains one or more fields. Fieldsets allow the grouping of logical units of information - i.e. the information entered into fields. For example, you can create a fieldset called 'Customer Details', and add the following fields: 'name', 'address', 'telephone number', 'account number', etc.
Strict compliance with KnowledgeTree XML Schema The syntax (spelling, capitalization) of metadata to be used with Hot Folders (the document types, fieldsets, and fields) must be exactly the same as the syntax of these elements in the XML file.
Warning: Do not disable KnowledgeTree's 'default' document type.
