Searching KnowledgeTree

KnowledgeTree Office Add-in > Working with the KnowledgeTree Office Add-In > Searching KnowledgeTree


This procedure locates KnowledgeTree documents from within Microsoft Office, using KnowledgeTree's search function, and navigation of the KnowledgeTree folders.

 

Pre-requisites:

KnowledgeTree Office Add-in installed on the client machine, and you must have a valid connection to KnowledgeTree.
The document you're looking for must exist in KnowledgeTree.
You must have at least 'read' permissions on the folder where the document is stored to view the document in search results or in the KnowledgeTree browse view folder tree.

 

 

Perform the following steps:

1.Open the relevant Microsoft Office application - either Excel, PowerPoint, or Word.

Note: To search for PowerPoint documents in KnowledgeTree, open Microsoft PowerPoint; to

search for Excel documents in KnowledgeTree, open Microsoft Excel; to search for Word

documents in KnowledgeTree, open Microsoft Word.

 

2.Log in to KnowledgeTree through the KnowledgeTree Office Add-in, if you are not already logged on.

 

3.To locate a document or folder, use either of the following options:

 

use search (Go to step 4); Or,

 

navigate the folder structure to browse to the document (Go to step 5)

 

4.To search for the document:
4.1. Enter quick search criteria in the Search bar; then, press the keyboard Enter key, or click the search icon adjacent to the Search field.

Note: To clear the search criteria field, click the X icon adjacent to the search icon on

search results.

4.2. View search results.

4.3.Select a document in the results to view available actions you can perform on the document.

Note: The action buttons that display for a selected document are based on your

permissions, e.g. you need 'write' permissions to edit a document, and on the

document status, e.g. documents that are locked for editing by other KnowledgeTree

users cannot be edited by you. Typical actions in this context are: Edit, View a Copy,

and Save As New Version.

Alternative step: Double clicking on a document selected in the tree opens

the document for viewing. If the document is currently checked out by you, double clicking

on the file in the folder tree opens it for editing.

 

5.To navigate the folder structure to locate the document, drill down through the folder hierarchy in the Browse view until you find the folder location of the document you're looking for; then, open the folder to access the document.
