Adding documents to KnowledgeTree

This procedure adds a document to KnowledgeTree from within Microsoft Office 2007 - Word, Excel, and PowerPoint.

 

Note: In this procedure, the document you are saving to KnowledgeTree exists only your local machine.

 

Pre-requisites:

KnowledgeTree Office Add-in installed on your client machine.
A valid connection to KnowledgeTree (on-premise server, or your KnowledgeTreeLive account) set up and working on your machine.
Write permissions on the KnowledgeTree folder where you are saving the document

 

 

Perform the following steps:

1.On your Windows computer, open the Microsoft Office document you want to save to KnowledgeTree (PowerPoint, Word, or Excel).

 

2.Log in to KnowledgeTree, if you are not already logged on. The KnowledgeTree folders and files display in the Browse view in the panel.

 

3.Search or navigate the Browse view to locate the folder where you want to add your document; then, select the folder in the Browse view folder tree.

 

4.Click Save.

Note: Your document is added to KnowledgeTree, and the KnowledgeTree document is

immediately opened for editing in Microsoft Office.

 

5.Accept the auto-generated filename, or define a new file name; then, select a document type. Enter values for the property fields that display for the document type, as applicable.

Note:

You may input any of the following non-alphanumeric characters in the KnowledgeTree Office Add-in interface: \ /<>|%+*':"? and your document title may also contain any of these characters. However, when saving the document and auto-generating the file name from the document title, KnowledgeTree removes these characters from the file name.

 

Why add document properties?

KnowledgeTree uses document properties to categorize and store documents so that they are easily retrieved. For instance, you can search for documents by various properties, such as file name, file type, tags, author, date, etc.

 

The properties called for on the Properties Editing screen are associated with the document type. Document types and their associated parameters (fields and fieldsets) are defined for your organization by your KnowledgeTree system administrator.

6.Do you want to ...
save your changes and continue editing the document in Microsoft Office? Click Save. If your system is set to capture reasons on save and edit actions, provide a comment for the changes you're making to the document; then, click OK. Continue editing the document; then, when you're done, click Save and Close Document.

Results:

the document in KnowledgeTree is locked for editing by you
the document remains open in Microsoft Office for further edits
you can save your changes at any time

           

Note: Your KnowledgeTree administrator defines whether reasons must

be captured on Save and Edit. See also Configuring Central Policies.

                 

save the document to KnowledgeTree and close it in Microsoft Office 2007? Click Save and Close. If required, provide a reason for your edit; then, click OK. The document is saved to KnowledgeTree, and is immediately available to other KnowledgeTree users for editing. The document is closed in Microsoft Office.

 

abort the 'save to KnowledgeTree' action on this document and return to the folder tree view? Click Cancel. The document remains open in Microsoft Office, and the document is not added to KnowledgeTree.
