Workflows are at the top of KnowledgeTree's hierarchical permissions structure. The workflow tool is allowed to override pre-configured permissions in the system by removing a user's existing permissions on a document or folder in a workflow, or by allocating additional permissions. Workflows are thus the only subtractive permissions tool in KnowledgeTree.

 

Workflow permissions are configured for users who are assigned by role or by group to the workflow, on the folder level, or on the document level. Outside of the workflow, KnowledgeTree permissions are applied per group, or per role, and only on the folder level.

 

It is important to remember the power of workflows in the KnowledgeTree permissions system, especially if a complex permissions system has been configured prior to configuring workflows. Be aware that workflows can override permissions that exist in the system.
