KnowledgeTree's Search function operates on the metadata layer. Since metadata is contextual, it provides the ability to find a document by, for example, author, or date, or document type.

 

On the other hand, KnowledgeTree's security and access control features operate at the folder level, and therefore the folder structure must be static and consistent.

 

Navigating a folder structure to find content is often time consuming and inefficient, so users typically rely on pre-configured content retrieval functionality, such as Quicklinks, Document Links, Document Views, and simple or advanced Search. The efficiency of these mechanisms rely on the existence of useful, contextual metadata.

 

Although most metadata is user defined - users enter information into fields, and assign document types - a successful KnowledgeTree installation is based on ensuring that the process of harvesting metadata delivers information that supports and enhances the productive use of the system. This is achieved by a thoroughly planned and executed configuration of the pre-defined fields, fieldsets, and document types. Understanding the role of metadata in the document management system is the first step in this process.
