This topic provides guidelines for correctly mapping out a document life cycle in a KnowledgeTree Workflow.

 

A workflow design involves defining what happens to a document at each state, and the process (transition) required to move to the next state. When configuring workflow permissions, the assignment of roles is especially important.

 

Consider the following:

whether the organization has existing document processes

 

whether the 'real world' workflow maps to the KnowledgeTree workflow

 

whether you need workflows; e.g. some users may only want to use the DMS for secure and retrievable document storage, and may never use workflows

 

whether it's necessary to control permissions using workflows (remember that workflow permissions override permissions assigned elsewhere, and you may incorrectly change pre-configured permissions)

 

whether it's necessary to control document actions using a workflow

 

you need to understand how to use workflow triggers effectively - e.g. triggers are useful in Approve/Reject workflows

 

whether automatic workflow assignment is useful - by document type, or by folder

Note: You can use either document type, or folder, but not both.
